A small but mighty multi-disciplinary integrative and complimentary care clinic comprised of 8 practitioners providing high quality services to the residents of Halton Region. The clinic is extremely successful and has been growing its services to meet the needs of the community.

The opportunity:

The clinic is currently searching for a Clinic Coordinator/Receptionist to work in cooperation with the owner and existing staff for the overall management and coordination of the day-to-day operation of the Clinic. The successful candidate will be integral in providing clinical support, customer service, marketing and sales and bringing services and processes up to date.  The effective use of technology and Social Media is a major requirement.

Your major responsibilities:

Customer Service and Operations

Manage and provide hands-on support as needed to all customer service and operations processes:

  • In-person and phone customer contact (reception)
  • Appointment bookings and management
  • Patient file records management
  • General housekeeping, including laundry
  • Continuous Improvement: generate ideas to optimize customer service and operations
  • Support the naturopathic doctors and other providers in efficient record keeping and patient flow

Human Resources

  • Work cooperatively with the existing staff and provide supervision of part-time staff.
  • Review, revise and ensure compliance with all HR Policy, Employment and Labour Laws
  • Maintain personnel files including tracking of benefits and payroll
  • Maintain and foster the excellent morale of staff and associates
  • Foster positive employee relations by recognizing positive performance


·       Record financial transactions and complete billing out of patients, including debit, credit and cash transactions

·       Assist in bookkeeping, including account reconciliation, receivables, payables, HST filing and payroll

·       Inventory management, including clinic products and office supplies.

·       Prepare various financial statements, revenue and expense reports

·       Responsible for growing the sales of sundry items

Communications and Social Media

  • Manage the organization website, keeping it up to date with programs and communications
  • Develop and maintain social media campaigns and regular newsletters
  • Trouble shoot technical issues related to website and programs used in the Clinic

What you need:

  • Professional customer service and reception experience
  • Knowledge of general accounting functions and experience with Quickbooks is required
  • Experience using electronic medical records and customer booking programs, and the ability to conduct minor troubleshooting of such
  • Proficient in use of Microsoft Office and Social Media programs
  • Excellent communication and organizational skills
  • A strong ability to self manage
  • Must demonstrate initiative, continuous improvement, enthusiasm, and an active interest/passion/respect for integrative and complimentary health
